The agreement
These terms govern use of the TrackReserve asset tracking portal at app.trackreserve.com. Purchases of tags, supplies and subscriptions are made on trackreserve.com and are covered by the store's own terms.
Accounts
A company account is created by TrackReserve and administered by the Company Admins that company designates. Company Admins are responsible for who they invite and what role they give them. A company must keep at least one active Company Admin.
What you may do
Use the portal to track equipment your company owns or is responsible for. Invite your own people. Export your data whenever you like.
What you may not do
- Attempt to reach another company's records
- Enumerate, guess or brute-force tag codes
- Resell access to the portal
- Use the found-item form to send unsolicited messages
- Upload content you have no right to store
Tags
Physical tags are bought on the store. A tag's code identifies the tag, not the item, and the binding between the two can be changed or switched off at any time from the portal. A tag allocated to your company cannot be claimed by anyone else.
We store a one-way hash of each code for scanning, plus an encrypted copy held under a key that is not kept in our database. That encrypted copy is what allows a lost or peeled label to be reprinted.
A Company Admin at your company can reprint any single label you hold. Re-cutting a whole manufacturing run is restricted to TrackReserve staff. Either way, every recovery is recorded in your own audit log with the person, the time and the reason. If you would rather we could not do this at all, a Company Admin can permanently destroy the encrypted copies for your batches from the tag inventory screen — your tags keep working, they simply stop being reprintable.
Plans and limits
Each plan carries limits on assets, members and tags, shown on your subscription page. When a limit is reached, creating new records is blocked; existing records keep working. We do not hold data hostage.
If a subscription lapses
- Days 1–14: full access, with a notice
- Days 15–45: read-only — search, scan and export continue
- Days 46–90: Company Admins only, to export and reactivate
- After 90 days: 30 days' written notice, then deletion
Availability
We aim for high availability but do not promise uninterrupted service in release 1. The portal requires connectivity for anything that changes a record; a check-out that could not reach the server tells you so rather than pretending to have worked.
Liability
TrackReserve is a record-keeping tool. It does not physically secure your equipment, and we are not liable for lost, stolen or damaged property. Our liability is limited to the fees paid in the preceding twelve months.
Ending the agreement
You may stop using the portal at any time and export your data on the way out. We may suspend an account for non-payment, or terminate for a serious breach of these terms, with notice where circumstances allow.
